As a Podcast Manager, you’ll be responsible for supporting entrepreneurs by managing the behind-the-scenes operations of their podcast. We’re talking about episode planning, coordination, scheduling, and everything in between.

Our team is here to manage the backend of their podcast so they can show up as the host and visionary of their show.

Episode Planning & Coordination

Although your responsibilities will vary based on the needs of the client, typical Podcast Manager support involves:

You’ll support clients by assisting with episode planning, maintaining topic lists and schedules, and ensuring episodes are aligned with the content and visibility strategy of the show.

Tasks may include coordinating guest outreach, communication, scheduling interviews, sharing prep materials, collecting bios and headshots, and ensuring a smooth guest experience from start to finish.

You’ll manage the backend of the production process by coordinating with editors, tracking episode status, reviewing audio files for basic quality checks, and ensuring deadlines are met.

You’ll support the publication process by uploading episodes to the hosting platform, updating episode titles, writing or coordinating show notes, adding links and resources, and scheduling release dates.

Platform & Systems Management

You’ll keep podcast platforms organized and updated, maintain episode archives, manage show assets, and ensure all systems are running smoothly.

**SOPs and training are provided for all client work.

Review & Quality Control

You’ll assist with final episode checks, ensuring accurate titles, correct links, and polished show notes to maintain the integrity and professionalism of the podcast.

Analytics & Tracking

You’ll track basic podcast metrics, monitor episode performance, and share simple insights to help guide future content and growth opportunities.

  • Recording Platforms: Riverside, Zoom
  • Calendars & Scheduling: Calendly, Google Calendar
  • Project Management: ClickUp, Asana
  • Asset Storage & Organization: Google Drive, Dropbox
  • Communication: Slack, Email, Zoom

Our clients use a variety of platforms to run their podcasts, and as their podcast manager it is important for us to be at least somewhat familiar, if not proficient, in the platforms they use.

Tech Knowledge

  • You are organized, detail-oriented, and thrive in managing ongoing recurring tasks
  • You are a strong communicator, with exceptional client experience and guest communication skills
  • You take initiative and are quick on your feet with an efficient approach to problem-solving
  • You are a self-starter and can independently manage timelines and deliverables
  • You take direction well and can follow SOPs
  • You’re interested in a long-term employee/employer partnership and are looking for a role you can commit to and grow with
  • You’re a stickler for deadlines and punctuality
  • You work exceptionally well independently, but also collaboratively within a team
  • You have an ear for quality and are comfortable reviewing episodes for clarity and professionalism
  • You are available to work during regular office hours Monday to Friday for 10-15 hours/week to start (with the potential to grow to full-time very quickly)
  • You are legally eligible to work in the United States
